The Grammar School is a leading co-educational school located in the heart of historic Portsmouth.

They are recruiting for a School Archivist to support the operation and development of the school archive.

The Role

The post holder will lead on the acquisition, organisation, dissemination, protection and exploitation of resources appropriate to the school community.

Working in the Development team, the School Archivist will respond to enquiries relating to the school's history and archive holdings.

They will also support and enhance the wider life of the school and the richness of the curriculum and co-curriculum by promoting and enabling meaningful engagement with the archives.

This is a part-time, term time role for 2 days per week (15 hours) to be worked flexibly. There will be a requirement to attend all Professional Development Days (INSET) in the school calendar.

Main Responsibilities

* Preserving the history of the school by identifying, collecting, sorting, classifying, cataloguing, storing and administering archive material both physical and digital
* Growing the PGS archive collection by acquiring and cataloguing appropriate new material
* Cataloguing collections in a manner which ensures their integrity and with consideration for compliance with access requirements
* Implementing a consistent and comprehensive strategy for digital records
* Understanding and acting within all information and access legislation that affects the material held in the archive, including digital collections, and ensuring the archive is compliant
* Providing specialist advice and guidance on the interpretation and use of the school's archives
* Sharing the archives through the provision and display of appropriate archive material, engaging the pupils and the wider PGS community through exhibitions and displays, talks and tours
* Supporting the work of the Development Office, including attending alumni events at the request of the Director of Development
* Actively promoting the archive collections and engaging stakeholders by introducing innovative and effective ways of communicating through a variety of channels
* Supporting the Head of Marketing and the Assistant Head (Admissions) by producing content and materials for promotion of the school
* To undertake all required training for the role

Skills and Qualifications

* A good standard of education with excellent spoken and written English (essential)
* Experience of working in a team (essential)
* Experience of using email, databases and other digital resources (essential)
* High level of proficiency in IT skills including digital and web-based resources and special collection software
* Good customer service skills and a desire to help others
* Excellent written communication skills and interpersonal skills and an enthusiasm for engaging with a variety of stakeholders
* Ability to work flexibly as part of a team and to work under direction, but also to use initiative and work autonomously, when required
* Highly organised and with excellent attention to detail
* A flexible and proactive attitude to the role
* Demonstrable understanding of developing standards and practices in digital information management and preservation and digital information technologies
* Demonstrable understanding of data protection and Freedom of information legislation
* Hold a qualification in archives or record management or be working towards a qualification (desirable)
* Experience of managing or working in a school or college archive or similar (desirable)
* A willingness to undertake all training required by the school including safeguarding training
